1. Introduction

This Privacy Policy describes how InterviewFM (“we”, “us”, “the service”) collects, uses, processes, stores and shares information when you use the InterviewFM website or mobile application.

InterviewFM is an interview preparation service. It offers curated interview audio, interview search and playlists, AI-generated interviews, resume and job-description analysis, interview history and user profiles.

By using InterviewFM, you agree to the practices described in this policy. If you do not agree, please do not use the service.

2. Information We Collect

A. Account information

When you create an account, we collect and store:

  • Your name, where your sign-in provider supplies one
  • Your email address
  • An authentication provider identifier that identifies your account
  • Profile details and account preferences you choose to save

Authentication is handled through Google Sign-In and, on iOS, Sign in with Apple. We receive a verified identifier and basic profile information from these providers. We never receive your password for those accounts.

If you use Sign in with Apple, you may choose to hide your email address. In that case Apple supplies a private relay address instead, and we use that address for service-related contact in the same way as any other.

B. Interview and career information

  • Technologies, domains and skills you select
  • Job roles and experience level
  • Interview preferences and search criteria
  • Saved interviews, bookmarks and playlists
  • Listening history, playback position and completion progress
  • Interviews generated for you, and the feedback produced with them

C. Resume and job-description information

Where the service offers it, you may submit a job description or resume content so that an interview can be tailored to it. That submission may contain skills, employment history, education and any other information present in the text you provide.

Please do not include unnecessary sensitive personal information — such as identification numbers, financial details, health information or another person’s personal data — in any document or job description you submit.

D. Audio and transcript information

InterviewFM generates interview audio so that you can listen to interview conversations. That audio is produced from scripted text; it is not a recording of you.

Where a mock-interview recording feature is available and you choose to use it, we may collect:

  • Voice recordings you make while practising
  • Transcripts produced from those recordings
  • Your spoken answers
  • The analysis and feedback generated from them

Microphone access is requested only at the point you start such a feature — never simply because the app is open. You can decline, or later revoke, that permission in your device settings.

E. Subscription and transaction information

Where paid features are offered, we store the plan or product involved, your subscription and entitlement status, and the transaction identifiers needed to validate a purchase.

Payments in a mobile application are processed by the Apple App Store or Google Play. Those platforms handle payment-card details; InterviewFM does not receive your complete card information.

F. Device and technical information

  • Device type, operating system and application version
  • IP address associated with requests to our servers
  • Server logs, diagnostic information and error records
  • Usage events, such as which interviews were opened or completed

InterviewFM does not include third-party advertising software, and does not collect advertising identifiers.

G. Communications

If you contact us for support or send feedback, we receive the contents of your message and the address you sent it from, so that we can reply and keep a record of the issue.

3. How We Use Information

  • Creating, maintaining and authenticating your account
  • Providing interview content, search, playlists and playback
  • Generating interviews matched to the criteria you select
  • Analysing a job description you submit in order to tailor an interview
  • Producing AI-generated questions, evaluation and feedback
  • Saving your progress, history and preferences across devices
  • Managing subscription entitlements, if you purchase one
  • Sending service messages about your account or important changes
  • Responding to support requests
  • Detecting, preventing and investigating abuse, fraud and security incidents
  • Debugging, monitoring reliability and improving the service
  • Meeting applicable legal obligations

AI-generated interviews and feedback are provided for interview preparation and educational purposes only. They are not professional career advice, and they do not guarantee any interview result, job offer or hiring outcome.

4. Microphone and Audio Processing

InterviewFM plays generated interview audio. Listening never requires microphone access.

Where a recording feature is available:

  • Microphone permission is requested only when you start that feature
  • Recording never begins simply because the app is open
  • You can decline, or later revoke, permission in your device settings
  • Recordings may be transmitted over an encrypted connection for transcription, analysis and feedback, and may be processed by service providers acting on our behalf

You are responsible for ensuring you have any consent required before recording another person.

5. AI Processing

InterviewFM uses automated systems, including large language models and speech synthesis, to generate interview questions and conversations, produce interview audio, analyse job descriptions, and generate evaluation and feedback.

To do this, content you provide may be sent to service providers that process AI requests on our behalf. At the time of writing these include OpenAI (text generation and analysis) and ElevenLabs (speech synthesis). We may change or add providers as the service evolves.

Automated output can be inaccurate, incomplete or misleading. Please review anything important independently rather than relying on it alone.

6. How Information Is Shared

We do not sell your personal information. We share information only in the following circumstances:

  • Authentication providers — Google Firebase Authentication, which handles sign-in and stores your email address and account identifier; and Google or Apple where you choose to sign in with those accounts
  • Hosting and database providers — to run the service and store your account data. At the time of writing our application and database are hosted on Render.
  • File storage providers — to store generated interview audio and any files associated with your account. At the time of writing this is Cloudflare R2.
  • AI and speech-processing providers — to generate interviews, audio and feedback, as described above
  • App distribution platforms — the Apple App Store and Google Play, for subscription and purchase validation where applicable
  • Professional advisers and authorities — where we are legally required to disclose information, or to establish or defend legal claims
  • A successor entity — if InterviewFM is involved in a merger, acquisition or transfer of assets, subject to this policy continuing to apply

Service providers receive only the information necessary to perform their function for us, and are subject to their own applicable terms and safeguards.

7. Data Retention

We keep information only as long as reasonably necessary to:

  • Provide the service and the history you have asked us to keep
  • Resolve disputes and enforce our agreements
  • Detect and prevent abuse
  • Meet legal, accounting and security obligations

Retention varies by data type and purpose. When you delete your account, associated personal data is removed or anonymized as described below. Backup copies may continue to contain deleted data for a limited period until they are overwritten in the normal course of our backup cycle.

8. Data Security

We use reasonable administrative, technical and organizational safeguards to protect your information. Traffic between the application and our servers is encrypted in transit, and access to production systems is restricted to those who need it.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will act in accordance with applicable law.

9. Your Choices and Rights

  • Review and update your profile and preferences inside the application
  • Control microphone and notification permissions in your device settings
  • Request access to, or correction of, the personal information we hold about you
  • Delete your account, as described in the next section
  • Manage or cancel any subscription through Apple or Google
  • Contact us with any privacy question or concern

Depending on where you live, you may have additional rights under local law. Contact us using the details below and we will respond as required by the law that applies to you.

10. Account Deletion

You can delete your account from within the InterviewFM mobile application, under Settings → Account → Delete Account.

Deleting your account is intended to remove or anonymize the personal data associated with it, unless we are required to retain something by law. This includes categories such as:

  • Your profile and account preferences
  • Submitted job descriptions and resume content
  • Playlists, bookmarks and saved interviews
  • Interview history, progress and listening records
  • Any recordings, transcripts and generated feedback associated with your account

Deleting your InterviewFM account does not cancel an app store subscription. Subscriptions are managed by the platform you purchased them on, and must be cancelled there: Apple subscriptions · Google Play subscriptions.

11. Children’s Privacy

InterviewFM is not directed to children under 13, or under the minimum age required in your jurisdiction, whichever is higher. We do not knowingly collect personal information from children below that age.

If you are a parent or guardian and believe a child has provided us with personal information, please contact us and we will take appropriate steps to remove it.

12. International Data Processing

InterviewFM is operated from India. Our service providers and infrastructure may operate in other countries, so your information may be processed outside the country where you live, in jurisdictions with different data protection laws.

Where required by applicable law, we take appropriate steps to ensure your information continues to be protected when it is transferred internationally.

13. Third-Party Links and Services

The service may link to websites and services we do not operate, including app store and subscription management pages. Their handling of your information is governed by their own privacy policies, not this one.

14. Changes to This Privacy Policy

We may update this policy as features, legal requirements or data practices change. When we do, we will revise the “Last updated” date above. If a change is significant, we will provide a more prominent notice through the application, the website or another appropriate method.
